*Standard Operating Procedure for Handling Cremation Remains

Purpose: To ensure the respectful and organized handling of cremation remains, following Georgia law, and maintaining consistent communication with clients.
Procedure:
1. Receipt of Cremation Remains:- Upon receiving the cremation remains, log the arrival of the cremation remains pet’s name, and the date received.
- Label and date the bag containing the cremation remains with the pet’s name, and the date the remains were received.
- Call the owner within 24 hours to inform them that their pet’s ashes have arrived and are ready for pick-up.
2. Initial Storage (First 7 Days): -
Place the cremation remains in the designated cubby behind the front desk for easy access. Ensure they are clearly labeled with the client’s name and pet’s name.
- Remains should stay in this cubby for the first 7 days after notifying the client.
3. Secondary Storage (Next 2 Weeks):
- If the remains are not picked up within 7 days, move them to the 3rd row from the top in the storage area by the (client) bathroom and Homeless Pet Foundation Office.
- Leave the remains in this location for an additional 2 weeks.
4. Storage (Next 30 Days):
- After 2 weeks in the secondary storage area, transfer the remains to the 4th row for the next 30 days.
- After moving the remains, log this change in the system and call the owner again at this stage to remind them of the uncollected remains.
5. 60-Day Reminder and Crematory Transfer:
- After 60 days, if the cremation remains have still not been picked up:
- Call the owner one last time to inform them of the situation.
- If there is no response or the remains are not picked up within a week of the final call, contact the crematory to arrange for the unclaimed remains to be transferred to their facility for long-term storage.
- Update Ezyvet with the final disposition of the remains.
6. Documentation and Tracking:
- Maintain a clear log of all communications in Ezyvet with the client regarding the cremation remains, including dates and outcomes of phone calls.
- Ensure proper labeling and organization of the remains at each stage to avoid any mix-ups.
